Comments - Going Paperless

JulietDelta - If you want details I will send you an email with all the particulars. For this space I will just layout the basics.

I setup one account in Google with email, calendar, documents, and a site. The Operations Personnel know the username and password and the iPads (10) and iPhones (3) all access the one account. Other sections only have to send a work request to 1 address for scheduling and approval. All the devices are synced so everything is visible immediately. The account also maintains the “Contacts” for the phones and can be updated as necessary and all equipment syncs.

The documents portion is where we keep electronic copies of our non SSI documents and rules and regulations. We also throw our SMGCS and Snow plans up there so they can be referenced in the field and are much more portable than the LARGE binders we used to carry around. Unfortunately we use MAXIMO for our work order system so we do not have that in the documents part of gmail. We do have a portal setup for our network so the application can be accessed via Citrix and we can initiate or complete work orders in the field.

The web browser is where we spend a significant amount of our time. Using bookmarks to sites we view several times a day is priceless. NOTAM’s, Weather, Airport Status, TAF’s, Radar, Aerial views, FAR’s, A/C’s, reference material or sites…. The list is endless. Being able to grab the information while on the go makes the team efficient.

Hi, we're purchasing a toughbook for our ops vehicle in the near future and I'd be really interested to learn more about how you're utilizing the Gmail/Google Docs functionality to do your logs and forms.  I'm looking for new ways to go paperless and streamline our daily logs and reporting.

I'm lobbying for iPads and/or iPhones for our division in the future, but I use my personal phone for work on a daily basis.  I'll be looking into these apps you all have mentioned.

Granted, our IT manager hates Google, and I'd be curious to know how Google handles the privacy of your documents, especially with the new privacy policies they're implementing.

We use iPads at KDEN and link it to a shared gmail account. It works really nice. If you uploaded the docs to google docs everyone could have access to it, from their smartphones iPads, tablets, in the field. The ESRI app is pretty nice as well if you have GIS. 

ESRI ArcGSI has a great app if you have GSI.
